Police Clearance Certificate Apostille for Poland

The Situation

Sending a police clearance certificate to Poland looks like a two-step job: notarize, then apostille. In practice there are three points where the file stops moving, and all three sit outside the Apostille stage.

Polish consulates and the voivodeship offices examine the document differently from a Chinese notary office, and the difference is what causes the returns.

What Actually Went Wrong

First stop: the certificate has a short validity window measured from its issue date, so an Apostille on an older certificate is worthless however genuine.

Second stop: the period covered by the check has to match what the receiving authority asks for, and a check covering the wrong period is rejected even if genuine.

Third stop: Poland requires sworn translation, and the swearing must be Polish.

How It Was Resolved

Work the three in order and the Apostille becomes the easy part.

Get the public security bureau criminal record check first. Then have the notary certify the fact rather than the copy. Then verify the name and date details against the receiving requirement. The Apostille attaches at the end and takes five to ten working days.

Polish authorities require translation by a tłumacz przysięgły sworn in Poland. That means the text of the notarization is read, not just the seal — which is why the order matters more than the effort.

The General Rule

For Poland specifically, Polish work permit processing runs parallel to the document stage, so timing matters.

The general rule: the Apostille certifies that a signature and seal are genuine. It does not certify that the document says the right thing. Everything the receiving authority needs to be true has to be true before the seal goes on.
