Business License Apostille for International Trade in Indonesia
The Situation
A Qingdao exporter came to us after a previous agent had withdrawn from the case, preparing a buyer's document request for customs clearance in Indonesia.
The business license had been notarized and apostilled. It was then examined by the importing customs authority, and the objection was not about the Apostille seal. It was about what the earlier stage had certified — the licence reflects the current registration state, and any change in legal representative, address or capital since issuance makes it outdated.
What Actually Went Wrong
Indonesia accepts the Apostille; the main friction is the translation requirement.
In this case the gap was narrower: the licence reflects the current registration state, and any change in legal representative, address or capital since issuance makes it outdated. Everything downstream was procedurally correct and substantively useless, because the receiving side needed the fact and had been given the form.
Indonesia requires Indonesian translations prepared by sworn translators.
How It Was Resolved
The fix ran through the market supervision administration registration extract rather than through the Apostille stage. Once that record was in hand, the notarization could certify the scope of business must match the activity being certified, and narrow scopes are a recurring rejection point, and the Apostille attached to it meant something.
The redo took five to ten working days at the Apostille stage on top of the time needed to retrieve the record. Because customs clearance can absorb some delay, the recovery fit inside the original schedule.
The General Rule
Three things decide whether a business license clears customs clearance in Indonesia:
One, the licence reflects the current registration state, and any change in legal representative, address or capital since issuance makes it outdated.
Two, the scope of business must match the activity being certified, and narrow scopes are a recurring rejection point.
Three, Indonesian translation adds three to five working days.
The Apostille stage itself is the predictable part — five to ten working days, no surprises. The surprises all sit upstream and downstream of it.
Check These Before You Submit
- Confirm what the importing customs authority in Indonesia requires, in writing, before notarizing
- Check that the notarization certifies the fact — the licence reflects the current registration state, and any change in legal representative, address or capital since issuance makes it outdated
- Verify the scope of business must match the activity being certified, and narrow scopes are a recurring rejection point
- Have the market supervision administration registration extract ready before the notary appointment
