Birth Notarization Apostille for Study Abroad in Indonesia
The Situation
A family in Ningbo came to us after the first submission had been returned, preparing their daughter's admission paperwork for university enrolment in Indonesia.
The birth notarization had been notarized and apostilled. It was then examined by the admissions office, and the objection was not about the Apostille seal. It was about what the earlier stage had certified — the notarization must certify the birth fact and parentage rather than copy consistency, which is where most applicants go wrong.
What Actually Went Wrong
Indonesia accepts the Apostille; the main friction is the translation requirement.
In this case the gap was narrower: the notarization must certify the birth fact and parentage rather than copy consistency, which is where most applicants go wrong. Everything downstream was procedurally correct and substantively useless, because the receiving side needed the fact and had been given the form.
Indonesia requires Indonesian translations prepared by sworn translators.
How It Was Resolved
The fix ran through the hospital birth record or the original household archive rather than through the Apostille stage. Once that record was in hand, the notarization could certify the parents' names must match the household register exactly, and the Apostille attached to it meant something.
The redo took five to ten working days at the Apostille stage on top of the time needed to retrieve the record. Because university enrolment runs on a fixed deadline, that recovery time came out of the client's own buffer rather than extending the deadline.
The General Rule
Three things decide whether a birth notarization clears university enrolment in Indonesia:
One, the notarization must certify the birth fact and parentage rather than copy consistency, which is where most applicants go wrong.
Two, the parents' names must match the household register exactly.
Three, Indonesian translation adds three to five working days.
The Apostille stage itself is the predictable part — five to ten working days, no surprises. The surprises all sit upstream and downstream of it.
Check These Before You Submit
- Confirm what the admissions office in Indonesia requires, in writing, before notarizing
- Check that the notarization certifies the fact — the notarization must certify the birth fact and parentage rather than copy consistency, which is where most applicants go wrong
- Verify the parents' names must match the household register exactly
- Have the hospital birth record or the original household archive ready before the notary appointment
